Add Smart Links to Your Emails And Automatically Track Customer Interests

Successful sales conversations start with delivering the right message to the right person. If you know in advance what your customer is interested in, you can begin the conversation much more effectively. That’s exactly where the Smart Link feature comes in.

What Is a Smart Link?

A Smart Link is a special link you can embed in emails sent via TeamGram CRM. When someone clicks on this link, a predefined tag is automatically added to their record in your CRM.

For example, you can tag those who click on a “Buy 3 Get 1 Free” campaign link with [3for1]. This makes it easy to see who is interested in which offer.

What Can You Do With It?

By combining smart links with automations, you can make your sales processes nearly fully automatic:

  • Detect what your customers are interested in—automatically
  • Create target groups based on tags and run more focused, effective campaigns
  • See what a contact is interested in before reaching out
  • Use click behavior to trigger follow-up sales actions

How to Use It?

1. Create a Tag

Start by creating the tag you want to use.
Example: [3for1]

Click the Tags icon in the top menu and select “New Tag.”

2. Define the Smart Link

Go to the Email Templates > Smart Links tab in your control panel.
Set:

  • The link text (e.g., “View Details”)
  • The destination URL
  • The tag to be added upon click

Then save the link.

3. Create an Email Template

Still in the control panel, go to the email templates section.
Edit an existing template or create a new one.
Add a clickable link (e.g., “Click here to learn more”) by inserting the smart link using the Insert Keyword button.

4. Send the Email

Go to the Contacts section and filter your target audience.
Click Actions > Send Email at the top right.
Select the right template and start sending.

Note: To use smart links, your TeamGram CRM account must be connected to a supported email service (Google Workspace, Microsoft 365, or a corporate SMTP account).

5. See Who Clicked

To see who clicked the link and was tagged, just click the Tags icon in the menu and select the tag (e.g., [3for1]).

Smart Links + Automations = Real-Time Sales Actions

You can take things even further by using smart links with TeamGram CRM automations to trigger real-time follow-ups.

Example Scenario:
You want a team member to call everyone who clicks on a campaign link.

Here’s how:

  1. Go to Automations in the main menu
  2. Create a New Automation
  3. Trigger: When a contact is updated
  4. Condition: If the tag “[3for1]” is added
  5. Action: Create an activity
  6. Set the activity subject to “Call about 3for1 campaign” and assign it to a team member
  7. Save and activate the automation

Now, whenever someone clicks the link, they’ll be tagged, and an automatic call task will be created for your team.

What You Will Need

  • A connected email account (Google Workspace, Microsoft 365, or SMTP)
  • A TeamGram CRM Premium or higher plan

Tag, smart link, and automation setup must be done by a user with system administrator permissions. Once set up, other users can start using them.
